Accounting in Loan Software: Ledgers, Trial Balance and Balance Sheet

A loan software accounting module is the part of the system that turns every receipt, disbursement and interest posting into ledgers, a trial balance, a P&L and a balance sheet, without anyone typing the same entry twice. For a society, Nidhi or small lender, it decides whether month-end takes two days or two weeks.

What the accounting module is

Think of a Monday morning at a branch. Members pay instalments, one loan is disbursed, a cheque is deposited. In a good system each of these creates a voucher by itself and lands in the right ledger head. The accounting module is where all those vouchers meet. How to use it

  1. Open the day and let counter staff post receipts and payments. Each entry should create its own voucher; the day routine is covered in day begin, day end and cash book.
  2. Pass the journal entries that do not come from the counter: salaries, rent, depreciation, provisions.
  3. Match the day book closing cash with the physical cash in the safe.
  4. At month end, run the trial balance. If totals agree, read the heads that look odd, such as a suspense head with a balance.
  5. Post interest and adjustments, then run the P&L and balance sheet and hand them to your auditor.

How it helps the business

The biggest change is that nobody re-enters counter data into a separate accounting package. The accountant spends the time on checking instead of typing. If your auditor prefers Tally, read accounting, Tally and GST integration before deciding how the export should work.

The number to watch: the gap between the total of individual loan ledgers and the loan control head in the trial balance. It should be nil. If members’ loan ledgers add up to one figure and the general ledger shows another, entries are leaking somewhere. A second number is simply the days you take to close the month.

Common mistakes

  • Letting staff post to a wrong head because the head list is too long and unsorted.
  • Changing entries after the month is closed without any approval.
  • Mixing bank and cash entries, then discovering a difference at audit time.
  • Leaving a suspense head uncleared for months.

What to check in a demo

  • Post a receipt live and follow it into the day book, the member ledger and the trial balance.
  • Edit a posted voucher and see what trail remains.
  • Ask for the balance sheet in the format your auditor or Act expects, and ask what can be customised.
  • View one branch, then the whole institution.
  • Ask how deposits, loans and general ledger modules post into each other.

FAQs

Does the accounting module replace Tally?

Not always. Some offices run everything inside the lender’s system, others export vouchers to Tally for the auditor. Decide this before you buy and test the export in the demo.

Can I see branch-wise trial balances?

A multi-branch system should let you view one branch or the whole institution from the same ledger. Ask the vendor to show both on your sample data.

What happens if a voucher was posted wrongly?

Good practice is a reversal or correcting entry with a visible trail, not silent editing. Ask what the system does after the month is locked.

Who signs off the balance sheet?

Your auditor and board do, as your Act or Rules require. The software prepares the figures; your CA confirms the format and disclosures.
