Bank Statement and Cancelled Cheque as Proof: Requirements

A bank statement shows your account activity for a period, and a cancelled cheque shows your account number, IFSC and name on a leaf marked void. Businesses use both as proof of identity details, address or bank account ownership during registrations, loans and other filings.

Why it matters for business registrations

Authorities and lenders want to tie a person or company to a real, working bank account. When you apply for a GST registration, for instance, the portal asks for bank account details and supporting proof. If the document is blurred or the name does not match, the application gets queried and you lose days.

Where and when each is used

  • Bank account proof: a cancelled cheque or the first page of a statement or passbook showing name, account number and IFSC.
  • Address proof: a recent bank statement is sometimes accepted, but the age limit varies by form and office. Check the current checklist before you upload.
  • Loans: lenders usually ask for several months of statements to read your cash flow, as in a business loan application.
  • Vendor and payment setup: a cancelled cheque is the usual way to confirm where payouts should go.

Key points before you submit

Write “CANCELLED” across the cheque in ink, but keep the printed name, account number and IFSC readable. If the cheque does not carry the account holder’s name, attach the statement’s first page too. Download statements from net banking so the bank’s header and stamp or digital signature show. For company accounts, the name should match the incorporation certificate exactly.   • Uploading a cheque with the signature or account number cut off at the edge.

  • Photographing a statement on a table instead of using the bank’s PDF.
  • Sending a joint account proof when the filing needs the proprietor’s or company’s own account.
