Photo ID and Address Proof for Company and Business Registration
Photo ID and address proof are the KYC documents that show who a director, partner or owner is and where they live. Typical choices are PAN, passport, driving licence or Aadhaar for ID, plus a bank statement or utility bill for address. Every business registration asks for them.
Why these documents matter
Registrars and banks need to know a real, traceable person stands behind the business. When you file for private limited company registration, every director submits identity and address proof, and the filing can be sent back if the documents are unclear or do not match each other.
Where and when they are required
- Company, OPC and LLP incorporation, for each director or partner
- Partnership and proprietorship set-up
- GST and Udyam registration
- Business bank account opening
- Digital signature certificates
- Change of directors with the Registrar
Commonly accepted documents
For photo ID, PAN is mandatory for Indian directors, and a passport, voter ID, driving licence or Aadhaar is usually added. For address proof, a recent bank statement, utility bill (electricity, telephone, gas, water) or an identity document showing the address is commonly accepted. Utility bills and statements generally need to be recent, often within two months. The exact list changes by form and by who is asking, so confirm it for your filing.
Foreign nationals follow a different path, usually a passport plus a notarised or apostilled address proof.
Key points to get right
- Names must match across PAN, Aadhaar and bank records, letter for letter
- Scans should be clear, complete and in colour where asked
- Self-attest copies when the process requires it
- The registered office address needs its own proof, covered separately in our guide on registered office requirements
Common mistakes
- Using an old utility bill that falls outside the accepted window
- Cropped or blurred scans
- Initials on one document, full name on another
- Giving an address proof for a place that is not the stated address
FAQs
Is Aadhaar enough as both ID and address proof?
It can serve as both for many filings, but PAN is still needed separately for Indian directors.
Can a rented home be used as a director’s address?
Yes, if the address proof is in the director’s name or supported as the form requires.
Do all directors need to give documents?
Yes. Each director and subscriber submits their own set.
