What credit society software does

A credit society takes money from members and lends it back to members. That sounds simple until you count the moving parts: share capital, savings accounts, fixed and recurring deposits, several kinds of loans, interest that accrues daily, and a cash book that must agree with all of it at closing time.

Good software holds each of these in one place, so a deposit entered at the counter shows up in the member’s account, the day book and the trial balance without anyone copying it. That single entry is the whole point. Most errors in a manual office come from the second and third copy of the same number.

Who needs it

Any society that has outgrown one clerk and one cash register is a candidate. In practice that means:

  • Credit co-operative societies and thrift societies with a few hundred members or more.

  • Societies that send agents out to collect small daily or weekly amounts.

A day in the office

Picture a Tuesday. The counter clerk opens the system, finds a member by name and posts a recurring deposit instalment. Two agents are out in the market collecting small amounts on a phone app. The manager approves a loan against a fixed deposit. At five o’clock the cashier counts the drawer and compares it with the cash book on screen.

If the figures agree, the day is closed. If they do not, the system should let you trace the difference to a voucher, a user and a time, not leave you hunting through pages. What to check before you buy

  1. Give the vendor ten real members, with shares, a deposit and a loan each, and ask them to show those on screen.
  2. Ask to see the day-end cash book agree with the sum of the day’s receipts and payments.
  3. Ask who controls what: can a clerk edit a closed day, and is every change logged?
