Passbook, Share and Member Ledger Software for Societies
Member ledger software is what keeps a society’s passbooks, share ledgers and member accounts telling the same story. When a member hands over a passbook at the counter, the balance printed there should match the ledger in the office, to the rupee. This post explains how that works and what to test before you buy.

What member ledger software is
Every member of a society has three things on record: a share holding, one or more deposit accounts, and sometimes a loan. On paper that is a share register, a ledger folio per account and a passbook in the member’s hand. Three books, one person.
The software keeps one member record and hangs everything else off it. Shares, savings, fixed, recurring and MIS deposits, nominee details and loans are all tied to the same member. The passbook is then a printout of what the system holds, not a separate document that somebody has to keep in step.

How to use it at the counter
- The clerk searches the member by name or number and opens the member record.
- For a new member, the clerk enters the details and nominee, then records the share allotment as per your bye-laws.
- For a deposit or withdrawal, the clerk opens the account, enters the amount and date, and saves. The balance updates at once.
- The clerk prints the new entry in the passbook, using the print form set up for your society.
- At day end, the cashier compares the day’s receipts with the cash book and the manager checks the share and deposit totals against the ledger.
The member sees the printed line, the clerk sees the same line on screen, and nothing needs to be written twice.
How it helps the business
The saving here is mostly in disputes and in time. A member who says the passbook is short by two hundred rupees can be answered in a minute, because the account history is on screen with dates. Without it, the clerk turns pages of a ledger while others wait.
It also helps at audit time. An auditor who asks for member-wise share totals at year end gets them as a report, not as a week of copying. We cover those reports in audit reports your society software should produce.
The number to watch is the difference between the member ledger total and the general ledger control account. In a clean system that difference is zero every day. If it is not, something was posted outside the normal flow, and you want to know today, not at year end.
Common mistakes
- Keeping the old register running alongside the software “for safety”. Within a month the two disagree and nobody knows which is right.
- Entering shares in one place and forgetting the matching entry in the books, because the system was set up without proper account mapping.
- Letting the passbook print run weeks behind, so members arrive with lines missing and staff start hand-writing.

- Giving every clerk permission to edit past entries.
What to check in a demo
- Ask them to print a passbook line on your actual passbook or stationery, not a sample.
- Open a member with shares, a recurring deposit and a loan, and ask for the whole position on one screen.
- Post a wrong entry and ask how it gets corrected. A good system reverses it with a trail rather than deleting it.
- Ask for the share register as of a past date.

What is a share ledger in a society?

Why do passbook balances and the ledger sometimes differ?
Usually because an entry was made in one place and not the other, or posted late. With a single entry feeding both, the difference should not arise, and any gap points to a specific voucher.
