Loan Software Demo Checklist

A loan software demo checklist saves you from buying on the strength of a smooth presentation. Whether you run a society, a Nidhi, a microfinance book or an NBFC, the demo is the only time you can make the software do your work in front of you. Use the questions below to decide what to ask the vendor to show.

Before the demo: bring your own data

A demo on the vendor’s tidy sample data proves very little. Send a short list of your real situations ahead of time: a loan with a holiday in the middle, a part prepayment, a member who pays twice in one day, a branch that closes early on Saturdays. Ask the vendor to run these, live, without jumping to another screen.

Also decide who attends. The counter clerk, the accountant, and whoever signs the balance sheet should all be in the room. If you are still comparing options, start with how to choose loan management software and keep this page open during the session.

A day at the counter

Ask the vendor to open the day, take a few receipts, and close it. Watch how many clicks a routine receipt needs, because your clerk does this hundreds of times.

  • Search a member by name, number or phone. Is it fast and forgiving of spelling?
  • Post a receipt and print it. Can the receipt format carry your name and wording?
  • Correct a wrong entry. Does the software ask for a reason and keep a record of the change, or does it quietly overwrite?
  • Close the day. Does the cash book match the total of receipts and payments without manual adjustment?

The loan from application to closure

Have them walk one loan end to end. Pay attention to the points where a manual workaround usually creeps in.

If your lending is home, mortgage or vehicle based, ask for the security details too: where the property or vehicle record sits, and how document custody is tracked. Field staff and branches

If you have agents who collect from homes or shops, ask to see the collection app on a phone, not just a description. Check what happens with a weak signal, whether a receipt is generated on the spot, and how the agent’s day-end cash is matched. The same goes for branches: post an entry at one branch and see whether the head office sees it straight away. Reports, audit and control

  • Trial balance, day book, loan and member ledgers: can you export them, and do the totals tie?
  • User rights: can you stop a clerk from editing a closed day or approving their own loan?
  • Activity logs: can the owner see who changed what, and when?
  • Statutory and regulator reports for your lender type. Say plainly what you need and have your CA confirm the current format, because the rules differ for a society, Nidhi or NBFC.

Finally, ask who handles support, how a new report request is handled, and what the exit looks like: can you take your full data out in a usable form?

Signs to watch for

  • The vendor avoids your own test cases and returns to the same sample screens.
  • Every awkward question gets “that can be customised” without saying how or when.
  • No clear answer on data ownership, backups or export.
  • Pressure to sign on the day of the demo.

How long should a loan software demo take?

Plan for a couple of hours if you want to see real flows, not a slide deck. Split it so the counter staff, the manager and the accountant each see their own work.

Should I give real member data for a demo?

Give a small sample with names changed, or a few accounts you can recognise. The point is to test your own cases, such as a part prepayment or a bounced instalment, not clean sample data.

Who from my office should attend the demo?

At least one person from the counter, one from accounts and the person who signs off the final reports. Software chosen by the owner alone often disappoints the people who use it all day.
