Data Migration from Excel and Tally to Loan Software
Moving from Excel to loan software migration sounds like a clerical task, but it is where most implementations slow down. Your records live in sheets and a Tally company, written by different people over several years. This post explains what to bring across, how to clean it, and how to prove it landed correctly.

What to move and what to leave
You do not need ten years of history on screen. You need every live account to start correctly. Our credit and thrift society management software page and the core banking page both describe the idea as existing records brought across and reconciled, which is the right test for any vendor.

Cleaning the sheets first
Do this before any vendor touches the file. A dirty sheet moved faithfully gives you a dirty system.
- One row per member, one row per loan, one row per deposit. No merged cells, no totals inside the data.
- One format for dates. Mixed text and real dates are the commonest cause of wrong interest.
- Remove duplicate members. The same person often appears twice with different spellings.
- Fill the gaps in mobile number, address and nominee where you can.
- Mark which loans are regular, overdue or in dispute, so the vendor does not guess.

Where Tally fits
Many small lenders keep their accounts in Tally and their loans in Excel. Treat them as two sources with different jobs. Tally gives you the control totals: the loan ledger, deposit ledger and cash balance on the cut-off date. Excel gives you the account-wise detail. The migration is correct when the sum of the account-wise detail equals the Tally ledger.
If the two disagree today, you have an old reconciliation problem. Fix it in the old system before migrating, otherwise you will carry the difference into the new one and blame the software. Your CA can help decide how to treat any unresolved difference.
Opening balances and proof
Pick a cut-off date, ideally a month end or the start of a financial year. Lock the old books on that date. Then load opening balances and tick off three things: total loans outstanding, total deposits, and cash and bank. After that, check a sample of individual accounts, say twenty random members, against the old register by hand, including one with a part payment and one overdue.

Common mistakes
- Migrating before the old books agree with each other.
- Checking only the grand total, so two errors cancel out.
- Moving interest due without the date it was calculated up to.
- Letting several staff edit the sheet during migration.
- No signed record of the cut-off balances.
What to ask the vendor
- Which file formats they accept and whether they give a template.
- Who does the loading, and who fixes rejected rows.
- How they report mismatches after loading.
- Whether a trial migration on a copy is done before the final one.

FAQs
Can Tally data be imported directly into loan software?
Sometimes, but do not assume it. Tally holds ledgers and vouchers, while a loan system needs member-wise loan accounts with schedules. Usually the ledger totals are used to check the migration, and the loan detail comes from your register or Excel sheets.
What is the minimum data we need to move?
Member details, each running loan with its principal outstanding and last paid date, each deposit with its balance, and the closing trial balance. History beyond that can stay in the old files.
Should we move old closed loans too?
Most offices keep them in an archive file and move only live accounts. Move closed ones only if staff regularly need their full history on screen.
How do we know the migrated data is right?
Match totals first, then check a sample of individual accounts by hand against the old register. Sign off only when the loan total, deposit total and cash balance all agree with the trial balance.
