Mobile Apps for Collection and Customers in Loan Software
A loan collection app lets an agent or counter clerk record a repayment the moment the money is received, instead of writing it on a slip and typing it up in the evening. This guide explains what a collection app and the customer-side apps do, how each person uses them, and what to test before you buy.

What the feature is
A collection app is a mobile app for your own people: field agents, centre staff or counter clerks. In Taxhint’s microfinance software, the collection app is listed for real-time payment tracking and for showing agents their pending dues so they can follow up. The customer side is separate. The user app is for people applying for a loan; the member app is for existing borrowers and members. People mix these up, so here is the split.

How to use it
- Manager: create each agent as a user, give rights only for collection, and assign the customers or centres they cover.
- Agent, morning: log in and open the list of dues for the day. Check that the list matches your route.
- Agent, at each stop: pick the customer, enter the amount received, save, and hand over the receipt. The software lets you print or share receipts in the format your office has set.
- Agent, pending cases: go back to the customers who did not pay and note the reason or the promised date.
- Clerk, evening: take the cash from the agent and compare it with the agent’s total in the app before closing the day. We explain this routine in receipts, offline mode and daily cash reports.

How it helps the business
The biggest change is timing. When entries are made at the stop, the manager can see by afternoon what has come in, not next morning. Take an agent who visits 40 customers. With slips, a clerk may read a hurried 500 as 50 or lose a slip altogether. With the app, the amount is typed once by the person who took the money.
Two numbers are worth watching every day:
- Cash gap per agent: app total minus cash handed over. It should be zero. Any other figure is a conversation the same evening.
- Pending dues at day end: how many customers on today’s list did not pay. If this keeps growing for one route, the problem is that route, not the software.
Customers gain too. A receipt on the spot and a balance they can check on their phone cut down arguments about what was paid.
Common mistakes
- Giving agents wide rights. An agent should see only their own customers and only the collection screen.
- Sharing one login between two agents, so nobody can say who took which payment.
- Skipping the evening cash match because the day was busy.
- Letting agents enter collections at night for the whole day. That brings back the slip habit.
- Rolling out the user and member apps without telling customers how to use them.
- Not testing the app in the poorest-network area of your route before going live.
What to check in a demo
- Record a payment and see the receipt appear straight away. Is it printable or shareable in your own format?
- Switch the phone to airplane mode and try again. Our product page does not describe offline use, so ask what happens and see it with your own eyes.
- Log in as an agent. Can you see only your assigned customers?
- Open the manager screen. Can you see each agent’s collection total and the pending list?
- Ask where location capture (geo-tagging) and SMS or EMI alerts fit into the collection flow.
- Ask what the customer sees in the member app after a payment is posted.
