Multi branch loan software lets a society, Nidhi or lender run several offices on one system, with each branch keeping its own accounts and head office seeing the whole picture. If you still collect branch registers by courier or WhatsApp photo at month end, this guide shows what the feature should do, who uses which part, and what to test before you commit.

What the feature is

In a multi-branch setup, one software installation serves every office. Each branch posts its own deposits, loans and collections, while the head office reads the combined result. How to use it

  1. Head office: create each branch, then set its holiday calendar. Branches in different towns often close on different days.
  2. Head office: create users branch by branch. Give each person only the rights their job needs, and bind logins to the branch location where you can.
  3. Branch manager, morning: run day begin for the branch so that posting is allowed for that date.
  4. Branch staff, through the day: post receipts, disbursements and vouchers in their own branch. Field agents use the app described in mobile apps for collection and customers.
  5. Branch manager, evening: match cash in hand with the cash book, then run day end. The software produces the branch day book at close.

How it helps the business

Without a shared system, head office learns about a branch problem when the branch sends its books. With one, the problem shows on the screen the same evening. A cashier who never closes the day, a branch whose collections fall behind its dues, a disbursement posted to the wrong office: all of these are visible early.

Numbers to watch:

  • Branches without day end by closing time. The list should be empty each evening.
  • Branch-wise collection against dues. Compare each office with its own target, not with the biggest branch.
  • Inter-branch balances still open. Money moved between offices should settle quickly and agree at both ends.

Common mistakes

  • One shared login for a whole branch, so the activity log says nothing useful.
  • Giving every branch user head-office rights because it is quicker at set-up.
  • Skipping day end on slow days, then posting a week of entries together.
  • Moving money between branches by phone call with no matching entry at the other end.
  • Forgetting branch holidays, so dues or penalties are worked out on the wrong dates.
  • Training only the branch manager and not the cashier who does the posting.

What to check in a demo

  • Create a test branch and a test user. Can that user see another branch’s data? They should not.
  • Ask to see the consolidated trial balance and then drill down to one branch.
  • Post a transfer between two branches. Do both ledgers update and agree?
  • Try to post after day end. What does the system say?
  • Check the holiday calendar for one branch and see how it affects dues.
