EMI, Repossession and Recovery in Vehicle Loan Software
Vehicle loan recovery software is what a finance office reaches for when the overdue list on the wall stops matching what the field team says. A two-wheeler or truck loan runs for years, instalments slip, and by the time someone asks what has been done on an account, the answer is in three phones and a diary.

EMI schedule and collection
Recovery starts well before anyone is late. Every loan needs a schedule that is generated once, at disbursement, and does not change unless someone with authority changes it. Each receipt, whether it comes over the branch counter, from a field agent or online, should post against that schedule and show which instalment it cleared.
Picture a clerk at the counter when a customer says he paid last week. If the system shows the receipt, its date and who took it, the argument ends there. If it does not, you have a collection problem, not a recovery problem. Overdue tracking and notices
A useful overdue view answers four questions without a phone call: how many instalments are missed, how many days since the first miss, what was the last action, and who owns the follow-up. Sort it by days overdue and the manager can walk the list in the morning.
- Ageing bands. Group accounts by how long they have been late so the effort goes to the right ones first.
- Notices. The system should generate the reminder or notice from a template, stamp the date, and keep a copy against the account.
- Follow-up notes. Every call or visit gets a line: date, person, outcome, promised date.
- Promise tracking. A customer who promised to pay on the 10th should appear on the 11th if he has not.

The repossession register
Repossession is the part nobody wants to improvise. When it happens, you need one place that tells the full story of that vehicle. What belongs in the entry:

The last row is where accounts and recovery meet. If a vehicle sells for less than the dues, the shortfall needs to flow into the ledger the same way every time. One caution. Software does not make an action lawful. Whether and how you may take back a vehicle depends on your agreement, your lender type and the current law. Confirm with your advocate and CA.
Common mistakes
- Keeping the repossession record in a separate sheet that nobody reconciles with the loan ledger.
- Letting field staff edit the schedule to “adjust” an account.
- Sending notices without keeping a dated copy.
- Ignoring insurance renewal on vehicles that are already overdue.
- Judging recovery by the number of visits instead of rupees collected against the overdue balance.
What to check in a demo
- Take one overdue loan and ask for every receipt, notice and visit note on one screen.
- Ask the vendor to generate a notice and show where the copy is stored.
- Create a repossession entry and a disposal entry, then check the ledger effect.
- Check who can edit a schedule, and whether the change is logged.
- Ask what the overdue report looks like for one branch versus all branches.

FAQs
Can software repossess a vehicle for us?
No. Software only keeps the record: notices sent, visits made, the vehicle’s condition and what finally happened to it. The act of taking a vehicle back has to follow your loan agreement and the law, so take advice before you act.
How do I stop overdue lists from becoming stale?
Make the list a live report, built from the schedule and the day’s collections, not a sheet someone exports on Monday. If the collector’s receipt posts to the loan the same day, the list corrects itself.
