Field Collection App for Microfinance
A good microfinance collection app turns the agent’s phone into a small branch counter: dues on the screen, money taken, receipt given, entry sent to the office. If your field staff still return in the evening with notebooks and a bag of cash, here is what the app should change and how to test it.

What the field collection app is
It is the mobile side of your loan software, used by agents and field officers. It shows who owes what today, accepts payment against a loan, and sends the posting to the same books the branch uses. How to use it
- The branch assigns each agent a route or a set of centres, so the agent sees only his own borrowers.
- In the morning the agent opens the app and checks the due list for the day.
- At each visit or meeting, he selects the borrower, enters the amount and saves. A full, part or missed payment is marked.
- The borrower gets a receipt, printed or sent as an SMS, depending on your setup.
- If location capture is on, the entry carries the place where it was taken.
- At day end, the agent’s total in the app is matched with the cash he hands over, and the manager closes the day.

How it helps the business
The first change is timing. A payment taken at 11 am is in the books by 11:01, so the manager’s overdue list in the afternoon is true. The second is trust: the borrower holds a receipt, and the office holds a record with time and place. Disputes of the “I paid last week” kind get shorter, because both sides can look at the same entry.
Two numbers are worth watching. One is the collection efficiency per agent, meaning cash collected against dues that were falling that day. The other is the difference between the app total and the cash deposited. If that gap appears often for one agent, you know where to look. Neither number needs a complex report, only a daily habit.
Common mistakes
- Letting agents write in a notebook first and key in later, which defeats the purpose.
- Not testing in the weakest-signal village before buying.
- Sharing one login among several agents, so you cannot tell who took what.
- Skipping the receipt for small amounts.
- Forgetting to remove a login when an agent leaves.
