How to Choose Nidhi Management Software

Choosing nidhi management software is easier once you remember that a Nidhi is a rule-bound company, not an ordinary lender. The software has to keep you inside the Nidhi Rules every day, and it should do the dull ledger work without errors. Here is how we would judge any package, including ours.

Start with the rules, not the screens

A demo always looks good. Test it against the Rules instead. Ask the vendor to show how the system handles these points, using your own sample data:

  • Deposits taken only from enrolled members
  • Fixed deposits of 6 to 60 months, recurring deposits of 12 to 60 months and a savings balance cap of Rs 1 lakh
  • Premature withdrawal conditions on deposits
  • Loans only to members, with limits and security recorded against each loan
  • Interest on loans on a reducing balance, kept within the permitted margin over the deposit rate

If a package cannot block a non-member deposit or an over-limit loan, it is a bookkeeping tool, not Nidhi software. Check each figure against the current text of the Rules, because limits have been amended before. Our deposit rules post is a starting point.

Does it help with compliance?

This is where Nidhi software earns its keep. It should show your NOF to deposits position against the 1:20 limit at any moment, and flag when unencumbered term deposits fall below 10% of outstanding deposits. It should also produce the figures you need for the half-yearly NDH-3 and the annual statutory filings. The calendar is laid out in our annual compliance checklist. The software supports your CA; it does not replace one.

Practical checks before you pay

  • Can you export all your data in a usable format if you leave?
  • Are there user roles, so a counter clerk cannot edit sanctioned loans?
  • Is there an audit trail of changes and regular backups?
  • How is support provided, and in which languages and hours?
  • Does it cope with several branches, if you plan more than one?
  • Who owns the data, and where is it hosted?

Ask for a trial on dummy data from your own member list. Ten minutes entering real-looking deposits and loans tells you more than an hour of slides.

What should Nidhi management software include?

At a minimum: member and share records, FD, RD and savings deposits, loans with security details, accounts, and compliance figures such as the NOF to deposit ratio.

Can ordinary accounting software run a Nidhi?

It can keep the books, but it will not enforce member-only dealings, deposit tenures or loan limits. A Nidhi needs those checks built in.

Does the software file NDH-3 and other returns for me?

Treat it as a source of clean data. Your CA should review and file the returns on the MCA portal, and confirm current due dates there.

How do I compare two Nidhi software packages fairly?

Use one checklist for both: rules enforcement, modules, reports, audit trail, support and how you can exit with your data. Then trial each on the same sample data.
