What a vault and locker register is

On paper it is a bound register with a packet number, date in, date out and a signature. In software the same facts sit against the loan account, so nobody has to match two books by hand. How to use it, step by step

  1. The branch staff finish pledge entry, seal the ornaments and enter the packet number against the loan account.
  2. Photograph the sealed packet with its tag and note the compartment where it will be kept.
  3. The vault keeper receives the packet, checks that the seal number matches the screen and marks it received.
  4. When the customer repays, the cashier closes the loan. The vault keeper then sees the packet due for release, hands it over, and the customer signs.
  5. For a renewal or part release, record the movement the same way, so the history never has a gap.

  7. At day end the vault keeper counts packets by hand and compares the count with the system list. Any difference is looked into before the day is closed.

How it helps the business

The biggest change is speed with certainty. A customer walks in at four in the afternoon to repay. The clerk sees the compartment, the vault keeper picks one packet instead of searching a shelf, and nobody wonders whether it is really there.

The number to watch is the daily difference between book packets and physical packets. It should be zero every day. Two more figures are worth a look each week: packets that left the vault and have not come back, and packets of closed loans still sitting in the vault because release was forgotten. Both show up as ageing lists if the system keeps statuses properly.

Common mistakes

  • Moving a packet first and entering it later “when time permits”. That is where gaps begin.
  • Sharing one vault login among two or three staff, which makes the history meaningless.
  • Reusing packet numbers after a loan closes.
  • Skipping reconciliation on busy days such as month end.
  • Photographing the ornaments but not the sealed, tagged packet.
  • Leaving a released packet marked as in vault, so the next count never matches.

What to check in a demo

  • Open one packet and ask to see its full movement history with user and time.
  • Try to move a packet without a user name. It should not be possible.
  • Ask how the day-end count is matched against the book list on screen.
  • Ask whether release can happen while the loan is still open, and what stops it.
  • Ask whether registers are kept branch-wise and who can see which branch.
  • Ask for a printout of the register that you can show an auditor.
