Lead and Enquiry Tracking for Lenders

Lead management in loan software means recording every person who asks about a loan, before a file is ever opened for them. In most small lending offices that first conversation lives in a notebook, a WhatsApp chat or the counter clerk’s memory, and half of it is gone by the weekend.

What lead and enquiry tracking is

A lead is someone who has shown interest but has not yet applied. An enquiry is the same thing seen from the counter: a walk-in, a phone call, a referral from a member or an agent. Tracking simply means each one gets a small record with a name, mobile number, loan type, amount wanted, source and a next follow-up date.

It sits in front of the loan application and approval workflow. When the lead turns serious, the same details should carry into the application so nobody types them twice.

How to use it, step by step

  1. Counter clerk: logs the enquiry while the person is still standing there. Name, mobile, loan type, amount and how they heard about you. Thirty seconds, no documents yet.
  2. Clerk or manager: sets a next follow-up date and a short note, for example “salary slip to be brought Thursday”.
  3. Assigned staff member: opens today’s follow-up list each morning, calls, and updates the note and the next date after every call.
  4. Manager: marks the lead as converted, lost or parked. A lost lead needs a reason: rate, amount, distance, other lender.
  5. On conversion: the lead becomes an application with its details carried over, and you can continue into KYC and sanction.

How it helps the business

The first change is visible within a week: you can finally say how many people asked for a loan, and how many of them you actually served. Without records you only see the files that reached the sanction table.

  • Fewer forgotten callbacks. The follow-up list replaces sticky notes. A person who was promised a call on Monday gets one.
  • Honest source data. If most good leads come from one agent or one branch, you know where to spend your effort.
  • Lost-reason patterns. If ten people left because your processing time was slow, that is a process problem, not a marketing one.

The number to watch is the conversion from enquiry to application, and then to disbursement. Compare it month on month inside your own office. There is no universal good figure, so do not borrow one from elsewhere.

It also feeds staff targets and performance dashboards, because you can only set a sensible target for new loans if you know how many enquiries come in.

Common mistakes

  • Logging only the serious leads. The pile of “just asking” enquiries is exactly what tells you about demand.
  • Keeping leads in one staff member’s phone. When that person leaves, the pipeline leaves with them.
  • No next-date rule. A lead with no follow-up date is a dead lead.
  • Treating an enquiry as a sanction. Logging someone does not mean the loan is promised; eligibility and credit checks still apply under your own policy.
  • Collecting more personal data than needed at the enquiry stage. Keep it to basics until the person applies.

  • Is there a follow-up date with a daily list per staff member?
  • Does a lead convert to an application without retyping?
  • Is the lost reason compulsory, and can you report on it?
  • Can you filter by source, branch, agent and loan type?
  • Who can see or edit another person’s leads, and is that controlled by user rights?
  • Is there a trail of who changed a lead and when?
