Vehicle Insurance and RC Renewal Tracking

Vehicle loan insurance tracking is the habit of knowing, for every financed vehicle, whether the policy is alive and what the RC says. Most lenders learn this lesson once: a truck is damaged, the claim is rejected because the policy ran out three months earlier, and the loan is now unsecured in practice. What insurance and RC tracking is

Two sets of facts sit behind every vehicle loan. One is the vehicle itself: make, model, chassis and engine number, registration number and the hypothecation entry. The other is the insurance: company, policy number and expiry date.   • Insurance company, policy number, start and expiry date
  • RC number, owner name and a scan of the document
  • Chassis and engine number as entered at disbursement
  • A renewal status: valid, due soon, lapsed

How to use it, step by step

  1. At disbursement, the loan officer enters the policy details and expiry date along with the vehicle record.
  2. Scan the policy and the RC and attach them to the loan account.
  3. Each week the branch manager opens the list of policies expiring in the next month.
  4. The recovery or field staff contact each borrower on that list and ask for the renewed policy copy.
  5. When the new policy arrives, the clerk updates the policy number and expiry date and attaches the new scan.
  6. If a policy lapses, mark it so, and follow it up like an overdue instalment. Where the borrower does not respond, check your agreement and speak to your lawyer on the next step.

How it helps the business

A manager with a hundred vehicle loans cannot carry a hundred expiry dates in his head. A diary works for ten. A system list sorted by expiry date turns a surprise into a weekly task.

The number to watch is the count of vehicles with a lapsed or expiring policy, kept as a short running list. If it grows month after month, follow-up is not happening. It also helps when recovery starts. If you ever need to act on the vehicle, as in EMI, repossession and recovery, having the RC, chassis number and policy in one place saves days.

Common mistakes

  • Entering the policy at disbursement and never looking at it again.
  • Typing the expiry date wrongly, so the reminder fires after the lapse.
  • Keeping RC details only in the physical file.
  • Accepting a policy copy without checking the vehicle number on it.
  • Not recording a second-year or third-year renewal because the first one was done properly.
  • Treating a lapsed policy as the borrower’s problem alone.

What to check in a demo

  • Ask for a list of policies expiring in the next 30 days, filtered by branch.
  • Ask who receives the renewal alert and whether you can change that.
  • Check that you can attach a scan of the policy and the RC to the loan account.
  • Ask what happens to the flag once a new policy is entered.
  • Ask whether renewal history is kept, not overwritten.
  • Ask whether the list can be exported to give to field staff.

Why does a vehicle lender track insurance at all?

The vehicle is the security for the loan. If the policy lapses and the vehicle is damaged or stolen, the lender’s cover is gone, so most finance agreements ask the borrower to keep it insured.

Can software renew the insurance for the borrower?

Software only records the policy and warns you before expiry. The renewal itself is done by the borrower or through your insurance arrangement.

What should be recorded for the RC?

Registration number, chassis and engine number, the owner name, and the lender’s hypothecation entry. Keep a scanned copy against the loan account too.
