Loan Disbursement: Cash, Cheque and NEFT Payout Records
Loan disbursement software is where an approved loan turns into money leaving your office, and it is the step an auditor looks at first. Whether you pay by cash, cheque or NEFT, the record has to show who was paid, how much, by which mode and under whose authority. This guide covers what that record should look like, with the staged payouts that home loans need.

What a disbursement record is
It is the entry that links a sanctioned loan to a payment. One loan can have one payout or several. A personal loan is usually paid in one go. A construction-linked home loan is released in tranches as the building reaches each stage.
The home loan software page lists release against completion stages, recording a site inspection before each tranche, posting every disbursement to the ledger, and keeping title and charge documents on file. For cash, cheque and NEFT modes, a good system should capture the mode, the reference (cheque number or UTR), the payee and the date, and print a disbursement voucher.
- Cash: needs a limit and a witness policy of your own.
- Cheque: needs the cheque number, bank and date.
- NEFT: needs the beneficiary account and the bank reference.
How to use it
- Manager: open the sanctioned loan and confirm the sanction terms match what the borrower accepted. The approval step is in loan approval workflow.
- Documents clerk: check that agreements, security documents and charge papers are on file before any money moves.
- Field officer (staged loans): visit the site, record the inspection and the stage reached, and upload photos if the system supports it.
- Manager: choose the tranche and mode, enter the cheque number or the NEFT beneficiary, and post the disbursement.
- Cashier or accounts: make the payment and attach the reference.
- Accountant: confirm the ledger posting and tick it against the bank statement.

How it helps the business
You get one trail from sanction to payout. If a borrower says “I received less”, the voucher, the bank reference and the ledger entry answer the question in minutes. For staged loans, no tranche goes out without an inspection note, so money is not released ahead of the work.
Numbers to watch:
- Sanctioned but not disbursed. An old sanction left open is either a stuck file or a customer who walked away.
- Disbursed versus sanctioned, per loan. The gap should match the stages still pending.
- Cash disbursements as a share of total payouts. If it creeps up, ask why.

Common mistakes
- Paying before the security documents are complete.
- Entering a NEFT payout without the bank reference, so it cannot be matched later.
- Posting the full loan on day one when only the first tranche was paid, which overstates the borrower’s balance and interest.
- Large cash payouts with no second-person authorisation.
- Letting the same user prepare and approve the payment.
What to check in a demo
- Disburse a loan in two tranches and show the borrower’s ledger after each.
- Does interest start from the actual payout date or the sanction date?
- Try disbursing without a required document. Does the system warn you?
- Print the voucher. Can you add your own format?
- Reverse a wrong entry. Is the reversal recorded rather than deleted?
- Can the payout export for the bank in a file, or is it manual? Ask what is included.

Normally from the date each tranche is paid, but it depends on your loan terms. Make sure the software follows the same rule as your agreement.
