What is PF and UAN? Provident Fund and Universal Account Number Explained

Provident Fund (PF) is a retirement savings scheme run by the Employees’ Provident Fund Organisation (EPFO), where both employee and employer contribute from salary every month. The Universal Account Number (UAN) is the 12-digit number EPFO gives each member. It stays the same for life, even when you change jobs.

Why it matters for a business

If you hire staff, PF is usually one of your first compliance duties. Before any employee’s contribution can be deposited, the establishment needs a PF registration, and each employee needs a UAN. Skip this and you risk notices, interest and penalties, besides unhappy staff who can’t see their savings grow.

PF vs UAN: the difference

  • PF account: the actual account where money builds up. Each employer has its own member ID, so a job switch means a new PF account.
  • UAN: the single umbrella number that links all those accounts under one person.

So an employee with three jobs in ten years has three PF accounts but just one UAN.

Where and when UAN is needed

  • Employer registers a new joiner and generates or confirms the UAN
  • Monthly contribution and ECR upload, part of regular PF return filing
  • Checking passbook and balance on the EPFO member portal or UMANG app
  • Claims: withdrawal, advance or transfer when changing jobs

Key points to remember

An employee who already has a UAN from an earlier job should give it to the new employer. A new one should not be created. The UAN has to be activated by the employee, and KYC details such as Aadhaar, PAN and bank account should be linked, otherwise claims get stuck. Activation methods have changed in recent times, so check the current process on the EPFO member portal before guiding your staff.

Common mistakes

  • Creating a second UAN for someone who already has one
  • Name or date of birth that doesn’t match Aadhaar, which later blocks claims
  • Delaying the exit date entry when an employee leaves

FAQs

Is UAN the same as a PF account number?

No. The UAN is one permanent number for a person. The PF account (member ID) is specific to each employer and changes when you change jobs.

Can an employee have two UANs?

An employee should hold only one UAN. If a second one was created by mistake, it needs to be merged or corrected through EPFO so that all PF balances sit under a single number.

Who gives the UAN, the employer or EPFO?

EPFO allots it. The employer generates it on the EPFO portal when a new member without a UAN joins.
