Utility Bill as Address Proof for Registered Office: What Works
A utility bill is a recent electricity, water, gas or landline bill that shows the address of a premises. For a company, it is the standard proof that the registered office address exists. The MCA expects the bill to be recent, usually not older than two months.
Why it matters for registrations
When you apply for private limited company registration or LLP registration, the address you give has to be backed by papers. The utility bill is the one document that ties your address to a real building, so a weak or old bill is a common reason for queries.
Where it is required
- Incorporation of companies and LLPs on the MCA portal.
- Verification of the registered office through Form INC-22.
- Change of registered office, along with the new address proof.
- GST and bank account opening, where the bank or officer asks for address proof of the business place.
Key points
Accepted bills are generally electricity, water, piped gas and landline or postpaid telephone bills. The bill should show the full address, match the address you are declaring, and be recent. A mobile recharge slip is not a good choice.
The name on the bill does not have to be the company’s. Most small firms start from a rented or family-owned place, so the bill is often in the owner’s name. In that case you add a rental agreement or an NOC from the owner, so the link between the bill and your right to use the space is clear.
Say the electricity connection of your shop is in your landlord’s name. Download the latest bill, check the address line by line against the rent agreement, and keep a PDF copy. Small spelling gaps like “Nagar” versus “Colony” can cause a query.
Common mistakes
- Using a bill that is three or four months old.
- Address on the bill differs from the address in the form.
- Uploading a blurry screenshot with the amount or address cut off.
- Skipping the owner’s NOC when the bill is in someone else’s name.
For a business address that also needs GST, see GST registration, where the same address proof logic applies.
FAQs
Can I use a mobile bill as address proof?
A postpaid bill may be accepted in some places, but electricity or water bills are the safer choice for a registered office.
Does the bill have to be in the company name?
No. It can be in the owner’s name, as long as you attach an NOC and, if rented, a rent agreement.
How old can the bill be?
Keep it not older than two months at the time of filing.
