Loan Collection App: Receipts, Offline Mode and Daily Cash Reports

A loan collection app is where cash first meets the books, so its receipts, offline behaviour and daily cash report matter more than most screens in the office software. This guide covers the features that count in an agent app for a society, Nidhi, microfinance or small lender, and how a manager can use them every day.

What the feature is

The collection app is a phone application for the person who walks the route: the daily deposit agent, the microfinance field officer or the recovery staff. It shows the agent’s list of customers or groups, takes a repayment or deposit, gives a receipt and sends the entry to the office.

Three parts decide whether it is any good. The receipt must reach the customer immediately. The offline behaviour must cope with poor signal. The daily cash report must tell the cashier exactly how much cash the agent should be carrying.

How to use it

  1. Office: load the route. The manager assigns customers or groups to each agent. An agent should see only their own list.
  2. Agent: start the day. Log in, check the due list and the opening cash with you, which should be zero.
  3. Agent: collect and save. Pick the customer, enter the amount, choose cash or other mode, save. The receipt should show date, amount, balance and receipt number.
  4. Agent: hand over the receipt. Show it on the phone or send it as a message. Customers who see their entry made are less likely to dispute it later.
  5. Agent: sync. If signal was missing, open the app where there is coverage and push the pending entries. Check that the pending count shows zero.
  6. Cashier: take the cash. Run the agent-wise collection report, count the cash, and tick the agent off. Note any short or excess against the agent’s name.
  7. Manager: review. Look at who collected what, who missed their list and which entries have odd locations or times.

How it helps the business

Think of a daily deposit society with twelve agents. In the old way, each agent comes back at six with a diary and cash, and the clerk posts the entries till nine at night. A wrong digit in the diary becomes a dispute at the customer’s door the next morning.

With an app, the entry exists the moment it is saved, so the cashier’s count is against a report, not a diary. The same flow supports daily collection and pigmy deposits, and customers can later check balances on the member and customer mobile app.

The number to watch: the difference between each agent’s reported collection and the cash handed over, every day. It should be nil. A small, repeated shortage from one agent is worth looking into early.

Common mistakes

  • Letting agents collect first and enter later from memory. The app only helps if the entry is made at the door.
  • Sharing one agent login between two people.
  • Ignoring the pending-sync count, so entries sit on a phone for days.
  • Allowing agents to edit or cancel receipts without a manager’s approval.
  • Letting the cashier accept cash without matching it to the day’s report.
  • Forgetting to tell customers that receipts will come on the phone, so they still ask for paper.

What to check in a demo

  • Switch the phone to airplane mode, take three collections, then reconnect. Do all three arrive once, with no duplicates?
  • What does the customer receive, and how fast?
  • Can an agent cancel a receipt? Who approves, and is it logged?
  • Does the daily cash report split by agent, by product and by cash or other modes?
  • How does geo-tagging appear to the manager, and can a customer’s consent be recorded?
  • What happens if an agent loses the phone mid-day?

What does a loan collection app do?
